Seating

Seating gives organizers a visual table layout for guest placement. You can manage table settings, open guest assignments, and use auto-assign tools from one workspace. Locked seats are enforced in the assignment flow.

Keep table assignments clear and up to date so arrivals and check-in run smoothly.

When to use it

  • You are ready to move from RSVP tracking to seat planning.
  • You need to configure table shapes, seat counts, or seat locks.
  • You want to assign guests manually from an unassigned list.
  • You want to preview grouped seating with auto-assign.

Open your event in Event Management.

Event Management opens with your event tabs and guest tools.

Select the Seating tab.

The layout canvas opens with table controls, Guests, and Actions.

Click a table to open Table Settings.

Table Settings lets you update label, shape, seat count, and seat locks.

Open the Guests panel to assign attendees.

Guest Assignments shows unassigned guests and filtering controls.

Open a locked seat to review assignment constraints.

First click a table so Table Settings opens on the right, then click Lock All Seats, click Guests at the top of the seating area, and click any locked seat number; this opens the Assign Seat window and explains why that seat cannot be assigned yet.

From the seating toolbar, open Actions and choose Auto-Assign Seats.

In the Seating toolbar, click Actions in the top-right corner and select Auto-Assign Seats to open the setup window where you can group guests, map colors, and select Generate Preview before applying anything.

Tips & gotchas

  • Keep seat locks intentional; locked seats cannot accept assignments.
  • Path to locked-seat warning: select a table, click `Lock All Seats`, open `Guests`, then click a locked seat.
  • Use clear table labels before assigning guests.
  • Check the Guests panel for any remaining unassigned attendees.
  • Path to auto-assign: in Seating, open `Actions` and select `Auto-Assign Seats`.
  • Run Auto-Assign Preview before applying grouped seating decisions.
